FAQs for Scheduled Refreshes

Automated Scheduled Import 🔁

Any Coefficient import can be scheduled to update automatically. There are 3 options for scheduling updates to your data:

Hourly: Refreshes your data on an hourly (1,2,4,8) cadence. (this is the most frequent)

Daily: Refreshes your data daily at a designated start time.

Weekly: You can schedule your data to update weekly (single/multiple days) at a specified time (Example: MWF at 8 am)

Manual Refresh 👆🏼

On-Sheet button

Each spreadsheet within a Coefficient import will have a "Refresh" button in the header. You can refresh data by clicking that button without needing to open up the Coefficient sidebar.

From the Sidebar

Every Coefficient import can also be refreshed manually from the Coefficient sidebar.

1. To refresh from the sidebar, hover over the desired import, click the three vertical dots that appear, and choose the "Refresh" option from the list.

2. Additionally, you can click on the import in the sidebar, and select the “Run” button located at the bottom.

Refresh All (Imports)

Within the sidebar, you will also see the option to “↻ Refresh". When selected will allow you to “Refresh All Now” or “Set Refresh Schedule” for all the imports within this sheet.

“Refresh All Now” will refresh all the imports within this spreadsheet all at once.

ℹ️ NOTE: If you have a lot of imports within your spreadsheet or data-heavy imports, this may take a while, or you may get a time-out warning. It may be better to refresh the data-heavy/larger import(s) separately.

Set Refresh Schedule

“Set Refresh Schedule” will allow you to schedule multiple/all the imports within your spreadsheet to refresh on a designated schedule. There are 2 ways to “Set Refresh Schedule”.

ℹ️ NOTE: For data-heavy/large imports we recommend staggering the schedules.

Set Refresh Schedule - Main Screen

1. Click “↻ Refresh" above the imports and select "Set Refresh Schedule".

2. Select the imports you want to schedule for refresh. Then update the “Scheduled Settings”, and click “Apply Schedule” to save the changes.

3. You will then be prompted to confirm and “Apply Schedule” on those selected imports.

Set Refresh Schedule - Menu

1. Click the Menu and select “Refresh Schedule” from the list.

2. Select the imports you want to schedule for refresh. Then update the “Scheduled Settings”, and click “Apply Schedule” to save the changes.

Remove Schedule

In certain situations, you might need to eliminate the refresh schedule from multiple imports in your spreadsheet. Rather than making individual edits, you have the option to update several schedules simultaneously.

1. Click “↻ Refresh" above the imports and select "Set Refresh Schedule".

2. Select the imports you would like to remove from refreshing on schedule, and then click "Remove Schedule".

3. You will then be prompted to confirm and “Remove Schedule” on those selected imports.

FAQs for Scheduled Refreshes

What timezone is used for scheduled imports?

Scheduled imports run according to the timezone of the user's machine that scheduled the task. For instance, if you create an import and set it to refresh every day at 9 AM in the Pacific Time Zone, Coefficient will automatically initiate the refresh at 9 AM Pacific Time, aligning with your specified schedule and local timezone.

ℹ️ NOTE: Scheduled refreshes are always at the top of the hour, however, there may be times (not always) that there will be a delay of a few minutes, especially for data-heavy imports/peak refresh times. We recommend scheduling your imports during off-peak hours if the imports are larger or you need them to refresh faster.

How are new rows added to an import that is scheduled to refresh?

Every time you refresh an import (manual/scheduled), Coefficient wipes the data from the spreadsheet and re-writes it adding the new rows.

Why am I getting an error when I use the Refresh All option?

If you have several import tabs within your sheet or if you’re pulling a lot of data, this process may take a while which is why you may receive a time-out warning. It is recommended to refresh the heavier import(s) separately.

Are there any limits for Import Refreshes with Coefficient? 

Certain features, such as Import Refreshes, may vary depending on your Coefficient subscription plan. For specific information on import refresh limits for your plan, click here

ℹ️ NOTE: Your refresh allocation will reset on the 1st of every month.
