Automations in Coefficient act as personalized alerts, keeping you informed about any changes or activities in your data imports. You can receive these notifications through email or directly in your preferred Slack channel. Types of Automations
Daily/Weekly Screenshot
This Automation delivers a screenshot based on the updates made in your data import.
Examples:
- Daily Summary of all of the number of demos the Sales Team has given
- Weekly Summary of the Support Tickets Closed
When Data Changes
This Automation sends a screenshot of the changes in your data depending on the logic or threshold(s) that you designate.
Examples:
- When an Opportunity Stage updates to Closed Won
- When an Opportunity over a specified amount changes to Closed Won
- The email address for a Lead is updated
- A Campaign Member's status is updated
When a New Row is Added
This Automation will provide a screenshot to you when a new record/row is created in your spreadsheet upon refresh/scheduled import.
Examples:
- A new Support Ticket is created
- A new Lead is qualified/created
- A new Opportunity is created in your pipeline
Setting up Automations
1. Open the Coefficient sidebar and click "Automations". |
2. Select one of the three Automation types: 2A. "Daily/weekly Screenshot": Select the range within your sheet for this screenshot. |
2B. "When data changes": Designate the range and whether you want to be alerted on every change or only if it satisfies a condition. |
2C. "When a new row is added": Designate if you want to be notified when a new ID Or if a new row is added to (the bottom) your spreadsheet. |
3. Set the "Frequency". (How often do you want to be notified?) "As soon as it happens" or "Daily Digest". ℹ️ NOTE: "Daily Digest" requires you to pick a time to send. |
4. "Send to". Select either Email or Slack. |
1. Enter the Email address(es) that should receive this Automation. Make sure you give this Automation a name. |
2. Automations sent to Email, will be sent when conditions are met (or when you "Send Preview"). They will come from "noreply@app.coefficient.io". If you don't see an Automation, check your Spam/Junk folder - you may need to whitelist the email address. |
Slack
1. Enter the Slack channel that should receive this Automation. Make sure you give this Automation a name. |
ℹ️ NOTE: If it is a private Slack channel, click the "Don't see a private channel?" link to show the steps you need to follow. Invite "@coefficient" (bot) to that channel before setting up the alert and click the "Refresh Channel List" button for the channel to show up in the list. |
2. "Allow" permission for Coefficient to access your Slack workspace. |
3. A Slack Automation message will be sent to the channel you selected letting you know that the Coefficient Automations will be posted here, and it will give you an idea of what they will look like.

Send Preview
The "Send Preview" feature will allow you to send a test alert to the destination you designated. This is a great way to test your Automations and make the necessary changes needed before the Automations can be sent out to your team.

Dynamic Recipients
This feature allows you to designate specific individuals to receive automations based on the row they are designated on within the spreadsheet. The users/Slack channels need to be listed in a designated column.
1. Check the "Dynamic Recipients box and designate the column for the Email/Slack recipients. ℹ️ NOTE: If there are multiple recipients for a row, list them using commas. |
2. Automations will be sent to the specified recipients' Email/Slack channel when conditions are met or when "Send Preview" is selected. |
FAQs for Automations
What time zone is used for the Automation scheduling?
The time zone used for the Automation is based on the user that created the import. So if I create an import (Pacific Time Zone) and a team member creates an Automation on my import (Eastern Time Zone), the automation will fire based on the Pacific Time Zone.
Is there a limit on the number of cells/ranges that can be monitored with Automations?
Coefficient allows you to select up to 8,000 cells in your spreadsheet when you set an automation and choose either "When data changes" or "When a new row is added."
Please make sure that the monitored cell range does not exceed the limit. If you need to monitor more than 8k cells in your spreadsheet, we recommend setting up multiple automations.
My automation is set to send to multiple individuals in Slack. Do they each get their own DM (direct message), or does it create a new channel?
When a Slack automation is set up with Coefficient, and there are 2+ contacts to receive this notification, Coefficient will create a new group message including all of the contacts for this automation. This reduces noise and clutter in your team's Slack instance.
Example: A Slack automation is created to notify Bob, Jane, and Diane if a deal is closed won in HubSpot. Bob, Jane, and Diane will get the alert in a group DM within their Slack instance when this automation is triggered.
My Dashboard/Spreadsheet contains several formulas, and I would like to set up an automation with Coefficient. Are there any formula limitations I should be aware of?
Formulas are amazing! They help us in so many ways with our data and insights. MOST formulas work well with automations in Coefficient. However, due to Google API limitations, there are a few formulas that will prevent your automations from triggering: AND(), RANDARRAY(), or RANDBETWEEN(). You may need to modify your formula to account for these limitations. If you have updated your formula and the automation is still not triggering, please contact support (support@coefficient.io); we will gladly lend a hand.
