Types of Slack and Email Alerts
Coefficient provides users with three types of Slack and Email Alert options: "At a Scheduled Time," "New Rows Added," and "Cell Values Change." The best option for you will depend on your specific goals and what you want to monitor in your sheet. Let’s break down each option!
At a scheduled time

- New Opportunities in the Sales pipeline (Daily)
- Sales Demos Given (Weekly)
- Closed Support Tickets (Monthly)

Once your alert message is set up to your liking, click "Done" to complete the configuration.
6. Here, you’ll define how often the Slack and Email Alert(s) will be delivered (e.g., daily at 9 AM). You can choose from the following schedules:

New rows added
This Slack and Email Alert will generate a screenshot whenever a new record or row is added to your spreadsheet during a refresh or scheduled import.
Examples:
- A new closed won opportunity has hit your "Sales Revenue Tracking" sheet.
- A new support ticket is created.
- A new marketing qualified Lead was added.

4. Select a trigger for your automation: To the bottom of the table: This will trigger a notification each time a new record is added to the bottom of a monitored cell range. With a new ID: This will trigger a notification every time a new record with an unique ID is added within the monitored cell range. To proceed, click Next. |

5. Select the cell/range within your sheet to monitor for this Slack and Email Alert. Then, click Next. ℹ️ NOTE: If you choose the "With a new row ID" trigger, you must select the column that holds the ID for your records. |
6. Click "Configure message". |

ℹ️ NOTE: If multiple rows are added, you can designate if you would like a Single Message sent with all the changes in one screenshot or Separate Messages. Separate Messages will fire a single alert for each new row or changed rows within the range.
If you choose to have Separate Messages sent and there are 10+ changes, the system will throttle those messages so you don't flood the recipients with notifications all at once.
8. Choose how often you want your Slack and Email Alert(s) to run by selecting one of the following schedules:

Cell values change
This Slack and Email Alert captures and sends a screenshot of data changes based on the specified logic or threshold(s) you've set.
Examples:
- When an Opportunity is closed and exceeds a specified dollar amount (e.g., $10K+).
- When an Opportunity advances to a different stage in the pipeline.
- When the email address of a Lead is modified.
- When the status of a Campaign Member is updated.

Email Alerts with Coefficient offers a seamless way to stay informed about significant data changes, updates, or alerts in your inbox. By automating notifications via email, you can ensure that key stakeholders are always up-to-date, even when away from the platform. This helps maintain real-time visibility into your data and enables prompt action on important metrics or events.
Example: Daily summary of new customers across teams.

5. In the "Email" section, enter the recipients' email addresses and personalize the alert message as needed. Once your message is set up, click "Done" to finalize the configuration.

ℹ️ NOTE: Slack and Email Alerts will be delivered to the designated email address(es) when conditions are met (or when you "Send Preview"). They will be sent from "alerts@coefficient.io." If you don't receive an Alert, please check your Spam/Junk folder - you may need to whitelist the email address and try again.

Slack
Slack Alerts with Coefficient provides real-time updates directly within your Slack workspace, keeping your team informed and aligned without needing to check emails or dashboards. Slack notifications are an excellent way to receive these updates because they allow immediate visibility and collaboration, ensuring quick responses to critical data changes or alerts.
Example: Inform the Sales team when a new Lead is created in your CRM.

ℹ️ NOTE: A Slack alert message will be sent to the selected channel, notifying you that the Slack Alert has been created and will be posted there. You can also send a preview to see how it will appear.
ℹ️ NOTE: If you choose to send a Slack notification to a channel, the alert will be posted directly in that channel. If you select individual users to be notified, a new private channel will be created where these alerts will be posted.
ℹ️ NOTE: If you want to tag specific individuals on these alerts when posted in Slack, you can use the "@ Slack Mentions" in the preview screen.

Send Preview
The "Send Preview" option lets you send a test alert to your designated destination. This feature is an excellent way to test your Slack and Email Alerts and make any necessary adjustments before sending them to your team.
ℹ️ NOTE: Please send these tests to yourself while adjusting and switch to the larger audience once the configuration is complete. (No one likes Slack Spam) 😅
1. After configuring your Slack and Email Alerts, click "Send Preview" in the top-right corner to see how the alert will appear when triggered.
2. Enter your recipient's email address or Slack name/channel, then click "Send Preview." You will receive an email or a Slack message displaying how your alert will appear when it is triggered. |
ℹ️ NOTE: If you would like to receive your Slack and Email Alerts via SMS, select the "Send to email" option and input the email address associated with your phone number (Example: 5555555555@vtext.com - This feature is only supported for Verizon Customers)
Variables
"Variables" enable you to reference values from a specific column, allowing you to assign particular individuals to receive alerts based on their designated rows within the spreadsheet. Ensure the users' email addresses or Slack channels are included in a specific column. Additionally, variables can be utilized to customize your alert's subject or content dynamically.
ℹ️ NOTE: Variables are only supported when using the "Separate messages" option with the New or Changed Rows trigger type. They can be applied to Slack recipients, Email recipients, and within the message body, including the content inside the card block.
Slack Recipients: Variables can send an alert to each recipient based on the values from the "Account Executive" column. |
Email Recipients: Variables can be used to email each support member based on the values from the "Assignee Email" column. |
Message Body: Variables can be used to mention/tag specific users in your alert's message body. |
Message Body with a Card Block: Variables can be used with a card block to show designated values important to this alert. |
Example: Alert will notify the Sales team when a new opportunity is assigned to them. (Column F contains the Sales Rep's email.)

7. Choose "Separate messages," then click the < | > button next to "Email" to display the list of columns you can use as variables. Select the column (Email) that contains the email addresses of your alert's recipients.
ℹ️ NOTE: If you need to notify multiple people, separate their email addresses with commas.

FAQs for Slack and Email Alerts
What timezone is used for the Alert scheduling?
The timezone for alerts is determined by the user who set them up. For example, if I create an alert/automation in the Pacific Time Zone, the alert will trigger according to Pacific Time.
Is there a limit on the number of cells/ranges that can be monitored with Alerts?
Coefficient allows you to select up to 99,996 cells in your spreadsheet to monitor; you will need to choose either "When data changes" or "When a new row is added."
Please ensure that the monitored cell range does not exceed the limit. If you need to monitor more than 8k cells in your spreadsheet, we recommend setting up multiple automations.
Do you support all chart types that can be included in my Alerts?
Due to some Google Sheets API limitations, the following chart types are not supported:

ℹ️ NOTE: Charts with two series can be generated and sent to Slack or email as part of your automation. Charts with more than two series are not supported with Coefficient.
My Alert is set to send to multiple individuals in Slack. Do they each get their own DM (direct message), or does it create a new channel?
When a Slack Alert is set up with Coefficient, and there are 2+ contacts to receive this notification, Coefficient will create a new group message including all of the contacts for this alert. This reduces noise and clutter in your team's Slack instance.
Example: A Slack alert is created to notify Bob, Jane, and Diane if a deal is closed won in HubSpot. Bob, Jane, and Diane will get this alert in a group DM within their Slack instance when this alert is triggered.
My Dashboard/Spreadsheet contains several formulas, and I would like to set up an alert with Coefficient. Are there any formula limitations I should be aware of?
Formulas are amazing! They help us in so many ways with our data and insights. MOST formulas work well with Slack and Email Alerts in Coefficient. However, due to Google API limitations, there are a few formulas that will prevent your alerts from triggering: NOW(), RAND(), RANDARRAY(), or RANDBETWEEN(). You will need to modify your formula to account for these limitations. If you have updated your formula and the alert is still not triggering, please contact support (support@coefficient.io); we will gladly lend a hand.
I have alerts set up to send as separate messages. My sheet just had a significant number of changes, but I only received 10 alerts. Is there a limit?
When setting up an alert with Separate Messages, Coefficient limits the notifications to 10 messages to prevent overwhelming the recipients with excessive alerts.
