Connecting to QuickBooks

When you begin a QuickBooks import for the first time, you will need to go through a few steps to connect to QuickBooks as a data source with Coefficient. 💚

ℹ️  NOTE: Your account must have Admin access to QuickBooks in order to connect to Coefficient as a Data Source. Additionally, due to some limitations of QuickBooks API, only 1 admin can be connected through Coefficient at a time; however, the connection can be shared with your team to allow collaboration on analysis and workflows. 

1. Open the Coefficient Sidebar and click Menu.

2. Select “Connected Sources”.

3. Select “Add Connection at the bottom and then “Connect” to QuickBooks.

4. “Authorize” Coefficient to connect to your QuickBooks account.

5. Follow the prompts to sign into QuickBooks if you are not signed in yet, and click on continue.

You may also be directed to a screen prompting you to select your company/firm and client

6. Lastly, click on "Connect" to allow the connection to QuickBooks. You'll be redirected back to the Coefficient sidebar once the operation succeeds.

Import from QuickBooks

Import from QuickBooks Report

Importing from a Report allows you to create imports without having to write a query; you can simply select from the listed reports available in the sidebar. (Coefficient supports over 28 standard QuickBooks reports).

1. Open the Coefficient Sidebar and click on the “Import from…” button.

2. Select “QuickBooks” from the list.

3. Select "From QuickBooks Report".

4. Select the QuickBooks report you would like to import from your account (eg. Profit and Loss)

5. Customize your import by choosing options for the "Period", "Display Columns By", and "Accounting Method".

ℹ️ NOTE:  Depending on the QuickBooks report you have selected, there may be additional filter options for you.

Comparison is also available for some reports, such as Profit and Loss, allowing you to view data comparisons for specific time periods (e.g., Previous Year) and include calculations, making the data easier to view.

Import from Objects & Fields

This import type allows you to create ad-hoc reports for additional flexibility in your analysis.

1. From the Coefficient Sidebar select “Import from…”.

2. Select “QuickBooks” from the list.

3. Choose "From Objects & Fields".

4. Select the QuickBooks Object (Example: Invoice) from the Import Preview window, then click “Next”. Screenshot 2025-11-20 at 10.54.21 PM.png5. Select the desired fields for your import. Import from Custom Query

This option lets you write your own QuickBooks Custom Query and gain greater flexibility to manipulate your data.

1. From the Coefficient Sidebar select “Import from…”.

2. Select “QuickBooks” from the list.

3. Choose"Custom Query".

4. The Import Preview window opens, allowing you to enter your custom SQL query in the blue text box shown below.

FAQs for QuickBooks

My company uses QuickBooks (Desktop). Can I use Coefficient for this version?

Due to the discontinuation of QuickBooks Desktop service as of May 31, 2024 (QuickBooks documentation here), Coefficient will no longer be able to support/build an integration for this product. If you have any further questions, please contact support (support@coefficient.io).

What permissions do I need to connect to QuickBooks?

A connection to QuickBooks requires Admin/Master Admin permissions. Please check with your QuickBooks Admin if you are getting an error similar to the screenshot below:

How can I use QuickBooks with Coefficient if I am not the Admin/Master Admin?

  1. You can reach out to your QuickBooks Admin and request elevated permissions (see above)
  2. The QuickBooks Admin can set up a connection between Coefficient and QuickBooks using their credentials and then share the connection with you and other members of your team.

Can I connect to multiple clients within a QuickBooks account?

Yes, you can now connect to multiple companies with our QuickBooks integration, as long as you have Admin/Master Admin permissions assigned to your account.

Do you support Custom Reports?

Custom Reports are not currently supported by Coefficient.

I am trying to sort the data from a standard report (Example: “Profit and Loss”). How do I use sort?

Due to limitations with the QuickBooks API, not all reports can be sorted. Some reports (like the “Profit and Loss”) support only 1 sort.

This error appears during my QuickBooks import (from a report with “All Dates” selected). What do I do?

Due to limitations in the QuickBooks Report API, when you exceed the maximum cell count limit of 400,000 (4 Lakh) in the API response, you will receive this message (see additional information here).

As a workaround, you can either create multiple imports with incremental date ranges instead of selecting the “All Dates” range, OR re-create an import using Objects & Fields (you may need to make some adjustments with this, to get the data close to the report).
