What is Export to HubSpot?
Export to HubSpot is a very powerful feature in Coefficient. It allows you to update the data in Google Sheets/Excel and then uses Coefficient to push (or write back) that data update directly into HubSpot using the UPDATE, INSERT, or DELETE actions

How to Export to HubSpot?
ℹ️ NOTE: We recommend creating a HubSpot import of your data into Google Sheets/Excel using Coefficient PRIOR to performing the “Export to HubSpot". This allows us to automatically detect/map certain fields. (this is not required - but HIGHLY recommended) 😎
1. Open the Coefficient sidebar and click on the “Export to...” button. |
2. Select the data source you would like to export your data to. (ie: HubSpot) |
3. Select the Tab and Header row (the Header row is not the Coefficient header, but the row that has the HubSpot field headers in it) then hit "Next". |
4. Destination Settings: Select the HubSpot property you are exporting the data to and the Action you would like to take then hit "Next". (Details on the different Actions are below) |
5. Field Mappings: Depending on the Action you are taking, certain fields may be required to be mapped for this export. Example: Update requires the HubSpot object ID - “Deal ID”. Coefficient will automatically map the fields for you if the data in the sheet came from an import from HubSpot using Coefficient.
ℹ️ NOTE: If the data in the sheet was not generated by a HubSpot/Coefficient import, you will need to manually map the data. |
6. Advanced Settings: Export Empty Cells on Update: Enabling this feature will allow you to remove/clear out existing values in HubSpot in bulk using Coefficient. Include export button on sheet - Enabling this will create this button in the Coefficient header to allow you to access the existing Export Mappings for your current sheet much faster. |
7. Confirm your settings and then click "Export". |
8. Select the row(s) on your sheet that you need to Export to HubSpot. You can select (highlight) specific rows OR update all the rows in your sheet. |
9. Coefficient will scan the data on your sheet and display the number of rows to be updated or skipped. Click on "Preview changes". |
10. The "Export Preview" window opens, displaying the fields that will be updated in your HubSpot (highlighted in blue). If there are potential errors with your export, they will be visible here, allowing you to make necessary adjustments to your data. When you have confirmed all the changes/updates that will be pushed to HubSpot, click the "Update 21 rows in HubSpot" button.
11. Once the Export completes successfully, you should be able to see the number of rows exported/skipped. Check the results columns to see if any records failed or returned an error. Congratulations on your first export to HubSpot! 🎉
Re-Use an Existing Mapping
If you have used the "Export to HubSpot" function previously, then you will see your previous mappings in the Coefficient sidebar located underneath your Imports list. This list will allow you to reuse a previous mapping. We will go through the process of using both the sidebar and the button below.
1. Pushing to HubSpot a second time will reveal the “Export” button in the Coefficient Header as well as the previous mappings in the sidebar.
ℹ️ NOTE: The "Export" button will show if you have the "Include export button on sheet" setting enabled and if your data came from a Coefficient import.
2. When clicking on the “Export” on-sheet button or the existing export from the sidebar, the previous mapping(s) related to the sheet that you are currently on will appear in the sidebar.
3. Make sure to review the mappings before performing the Export to HubSpot again. (From here, you can view the run history and settings) then proceed with the typical “Export to HubSpot” process.
Export to HubSpot Actions
Update
Pushes updates to an existing field/record in HubSpot.
- The record MUST have a record/field ID mapped.
Insert
Creates a NEW ID and inserts data into a new record in HubSpot.
Delete
This action will remove the ENTIRE record from HubSpot. You can recover it in the Recycle Bin in HubSpot within 90 days of being deleted. Click here for more information.
- If you need to remove a field value on a record (that is not required), then use the "Update" action (above).
- You cannot remove a value from a required field on a HubSpot record; it must be replaced with a new value during the update.
- The record MUST have a record ID mapped.
Contact List Sync
When updating the Contact List object, the export process is similar; however, the actions may be a bit unique when exporting/syncing your data.
Sync ContactsThis action synchronizes HubSpot with your sheet, by replacing what is in HubSpot to exactly match what is in the sheet. (Spreadsheet data and HubSpot Contact List).
Add ContactsAdds the contact record(s) to your selected Contact List. If you need to create an entire contact record, use the "Insert" action in the "Contact" property instead.
Removes ContactsThis action only removes the contact record(s) from your selected Contact List. If you need to remove the entire contact record from your HubSpot database, use the "Delete" action in the "Contact" property instead. |
Schedule an Export to HubSpot

How can I use this feature?
Export to HubSpot is a premium feature - this means that you may be able to try it out on the Free plan up to a certain number of rows. If you hit the limit on the Free or Starter plan(s) and need to upgrade to the Pro plan for unlimited use, please contact sales@coefficient.io and a member of our team will assist you.
What if I push the wrong data to HubSpot by mistake? How can I fix it?
We highly recommend testing this feature on a few records (1-2 records) first before doing bulk updates/exports to your HubSpot data. That will ensure that you have set up your data and mapped your fields correctly to avoid any incorrect updates. If you have made a mistake with your export, you can update the data in your sheet and do an additional Export to HubSpot to correct it.
I did an Export to HubSpot today, but the updates are not showing in the HubSpot UI. What do I do?
Due to some HubSpot API limitations, there may be a slight delay with the updates showing in your HubSpot UI. Kindly refresh your HubSpot instance after a couple of minutes (~ 5 minutes) and check your data again. If the data has not been updated after a reasonable amount of time - please contact our support team (support@coefficient.io) for further assistance.
How do you rename an Export so you can recognize it and reuse it later?
In the Coefficient sidebar, you will see all of your imports, and if you scroll down you will see a section called “Export”. Locate the export you would like to rename, hover over the name with your mouse, and click on the 3-vertical dots that appear. Select “Rename” from the list. Update the name of your Export, and press “Enter” to save.
How do you view an Export’s Run History?
In the Coefficient sidebar, you will see all of your imports, and if you scroll down, you will see a section called “Export". Locate the Export you would like to see the Run History for and click on it to open up the details. You should see a “See Full Run History” link when you collapse the last export information.
You will be redirected to a page dashboard where you can download the full log in CSV format (see the attached screenshots below).
