Editor Access

Coefficient Licensed User

Scenario 1: A Coefficient-licensed user ("Test") within your domain is given Editor access to your Excel workbook.

1. To grant a user ("Test") Editor access to your workbook, click on the “Share” button in the top-right corner of your Excel workbook. Enter the user’s email address OR name and select their permissions to your workbook from the dropdown (Can Edit). Click "Send" to notify the user that they have given access to your workbook.

2. This user ("Test") will now be able to launch the Coefficient Add-In from the ribbon and use different options like "Open Sidebar", "Refresh All Sheets", "Refresh Current Sheet" and access the "Help & Support". This user MAY also be able to edit your import - see the note below for details.

ℹ️ Note: Depending on the permission set at the import level, a user with EDITOR access to the workbook may still be limited in interacting with Coefficient imports. See the Locked Imports article for additional information.

Coefficient User on the Free Plan

Scenario 2: A user on the Free plan with Coefficient ("Testimo Artest") (within your domain) is given Editor access to your workbook.

1. To grant a user ("Testimo Artest") Editor access to your workbook, click on the “Share” button in the top-right corner of your Excel workbook. Enter the user’s email address OR name and select their permissions to access your workbook from the dropdown (Can Edit). Click "Send" to notify the user that they have given access to your workbook.

2. The free user ("Testimo Artest") should be able to access the shared workbook, but the licensed features are now restricted. The options from the ribbon (Open Sidebar, Refresh All Sheets, Help & Support, Refresh Current Sheet) are still available for free users. Viewer Access

Scenario 3: A Coefficient licensed user ("Test") (within your domain) is given Viewer access to your workbook.

1. To grant a user ("Test") Viewer access to your workbook, click on the “Share” button in the top-right corner of your Excel workbook. Enter the user’s email address OR name and select their permissions to your workbook from the dropdown (Can View). Click "Send" to notify the user that they have given access to your workbook.

2. This user ("Test") will not be able to interact with any Coefficient functions within the Excel workbook, including launching the Coefficient Add-In from the ribbon (it will not be an available option). The user ("Test") will see a banner that the workbook is opened in read-only mode and changes to imports or data within the workbook are prohibited.

ℹ️ Note: When Viewer access is given to a user on Coefficient’s Free Plan ("Testimo Artest"), they will have the same restrictions to the workbook as the Excel permissions are applied.

Protected/Locked Cells

Protected/Locked Cells allows you to designate a sheet or range of cells within your workbook that cannot be changed, moved, or deleted. Documentation on Protected/Locked Cells can be found here and here.

Scenario 4: A Coefficient licensed user ("Test") (within your domain) is given Editor access to your spreadsheet/workbook but added a Protected Range to an import.

ℹ️ NOTE: For it to work, make sure to open your sheet on your Excel Desktop App. Locked cell/s will still be applied when you open the web app version of the workbook.

1. To lock cell(s) in your Excel sheet, highlight the cells you want to lock, then go to Format and  Protect Sheet.

2. You can password-protect your sheet (optional) and customize the actions that other users can perform in your sheet. Click "Ok" when done.

3. The user ("Test") should still be able to launch Coefficient from the ribbon option, but they should get an error if they try to edit/refresh an import with the protected range settings enabled.

4. The user (Test) can modify other sheets/imports as long as they are not under a protected range with his permissions restricted.

FAQs for Excel Sheet Permissions

What is the difference between Excel Sheet Permissions and Locked Imports?

Excel Sheet permissions are settings you can apply to your entire Excel workbook when sharing with your colleagues. Locked Imports is a Coefficient feature that allows you to set specific permissions for each of your imports. Regardless of what Excel Sheet Permissions you provide to another user, locked imports will still be reinforced. For example, even though you have granted your colleague "CAN EDIT" access to your sheet, if your import is locked to “only me”, other users will have restrictions with that import.

I have locked some cells on my Coefficient import sheet and now it is no longer refreshing. What can I do?

When locked cells are enabled, and the user who scheduled the import to refresh is not included in the permissions to edit that range - the import will be blocked from refreshing. To resolve this, you must either remove the Locked Cells OR add the user who scheduled the import to have edit permissions within those cells.
