The "Plans & Billing" section in Coefficient enables billing administrators to manage and track their team's subscription and billing details. Administrators can review current plans, reassign licenses, update payment methods and billing cycles, and request changes to the subscription.

Access Account & Billing

Only the Billing Admin assigned to your plan can access the "Plan & Billing" section from the menu. If you need assistance with this feature, please contact Support (support@coefficient.io). 

1. Click on the Menu (top right corner) from the Coefficient sidebar.

Manage Subscription

From the "Plans & Billing" page, you can manage your subscription by selecting the "Change Plan" option. This allows you to request upgrades, downgrades, or other adjustments to your current plan.

1. Click on the Menu (top right corner) from the Coefficient sidebar.

2. Select "Plans & Billing" from the options listed.

3. A new browser tab will open, displaying the "Plans & Billing" page with details about your current subscription. To make changes, click on "Change Plan" to continue.

4. You will see Coefficient's available plan options for your consideration. From this page, you can contact us about upgrading to a higher-tier plan or downgrading from your current plan.

5. Once the team makes the requested changes to your account, you should see the upcoming changes in the Plans & Billing Page. 

ℹ️ NOTE:  Any request for subscription modifications made within a billing cycle will take effect in the subsequent billing cycle. For instance, if you request a downgrade on October 17th and your next billing cycle begins on November 3rd, the change will be implemented on November 3rd.

Manage Licenses

Billing Admins can assign/reassign licenses for their team within their plan through the "Manage Licenses" section. This feature is very useful when a new team member joins or when there is change management. 

🚨NOTE: If a Coefficient user is leaving your organization, their imports will need to be transferred to an active/licensed team member BEFORE their license is reallocated. Please see our documentation on Transferring Imports for more information on the process. Please contact support for further assistance (support@coefficient.io). 

Example: Assign a new Pro license to a team member.

1. Click on the Menu (top right corner) from the Coefficient sidebar.

4. Click the "Add Users" button at the top and input the user's email address.

ℹ️ NOTE: If the user hasn't installed Coefficient, they will receive an invitation email to install the extension.

Alternatively, if the user has the Coefficient extension installed, they will be listed under "Other users from your domain." You can click "Add user to plan" next to their name to assign the license.

Add a License

ℹ️ NOTE: If you have an Enterprise/Team plan and wish to add licenses to your plan, please contact your Account Executive for assistance or email Sales (sales@coefficient.io), and our team will be delighted to assist you further with your request.

4. Hover over the 3 vertical dots beside the "Add Users" button.

5. Select the number of licenses you wish to add to your subscription. Select "Next" to continue.

6. Review the suggested changes to your plan. You'll find the total cost for the additional licenses you're adding and any prorated discounts or refunds based on your current billing cycle. Click "Confirm & Pay Now" to continue.

7. The "Manage Licenses" page will now indicate that you have unassigned licenses available for your subscription.

Add a Plan Manager

You can add multiple billing contacts to help manage your subscription.

1. Click on the Menu (top right corner) from the Coefficient sidebar.

3. A new browser tab will open, displaying the "Plans & Billing" page with details about your current subscription. Select the "Manage Billing" link under the Payment & Billing section to proceed.

4. To add new Plan Managers, click the "edit" option beside "Billing contacts".

5. Enter the email of the contact you want to add and click "Save".

Manage Payments & Billing

You can also update your billing or payment details via the "Manage Billing" option. This feature allows you to add/edit new payment information and modify your subscription's billing frequency. Also, you'll be able to access and download all your current and past invoices from this section.

1. Click on the Menu (top right corner) from the Coefficient sidebar.

4. To change the payment method or billing contact, click on "edit".

5. Provide your new payment information or credit card details, then click "Update" to continue.

6. You can also adjust your billing frequency here as well.

7. A new window will appear, summarizing the proposed changes to your subscription. Check the box to confirm "I want to change to annual billing", then click "Change to Annual" to proceed.

Access Invoices

If you need to retrieve a past invoice for Coefficient, you can do so from the Payment & Billing page as well. 

1. Click on the Menu (top right corner) from the Coefficient sidebar.

4.  In the "Your Payments" section, you will find a list of your past invoices. The invoice numbers are hyperlinks that allows you to open and download the corresponding invoice as a PDF.

FAQs about Account & Billing

A member of our team is departing, and we need to reassign their license to another user. How can we accomplish this with Coefficient?

When a Coefficient user leaves your team, their imports MUST be transferred to a licensed user with an active Google/Excel account. Ideally, this should be done BEFORE the user departs, but sometimes, that cannot always happen. Please refer to our documentation on Transferring Imports and contact our support team (support@coefficient.io) for further assistance. They will walk you through the process. Once the imports are transferred, you are clear to reallocate the license to another user. 

I need access to the Plans & Billing for my company's subscription. How do I get access?

Please contact support (support@coefficient.io) for further assistance. 

I requested changes to my subscription, but I do not see the changes on the Plans & Billing page. What do I do? 

Please contact our support team (support@coefficient.io) for assistance. They can confirm that the changes have been applied. If you are on a monthly plan and make changes within the billing cycle, the changes will not be reflected/applied until the next billing cycle. 

I need to cancel my Coefficient subscription. How do I do that? 

To cancel your subscription, please contact support@coefficient.io for further assistance.
