Connecting to Gmail

When you begin a Gmail import for the first time, you will need to go through a few steps to connect your account to Coefficient before being able to import data from Gmail to Google Sheets/Excel using Coefficient.

1. Open the Coefficient Sidebar and click Menu.

2. Select “Connected Sources”.

3. Select “Add Connection at the bottom and then “Connect” to Gmail.

4. Click "Authorize"

5. Select your Google account.

6. Click "Continue" to proceed.

7. Click "Allow" to proceed.

8. Once successful, click "Import data..." to create your imports.

Import from Gmail

1. From the Coefficient sidebar, select “Import from…”.

2. Select "Gmail" from your data sources.

3. Coefficient's Gmail connector now features an AI assistant that effortlessly extracts the information you need from your emails. Click "Got it" to continue.

Click "Search" to continue.

ℹ️ PRO TIP: To narrow your search, click the filter icon on the right of the keyword box and add filters to your criteria.

5. The Import Preview window displays the first 10 email results from your mailbox. Select the email you want to import, then click "Next" to proceed.

ℹ️ PRO TIP: Click the "view email" link at the right of the email row to open the email in a new tab.

7. Enter your prompt to specify the information you want to extract from your email, then click the upward arrow to submit.

 ℹ️ PRO TIP: Enter clear, detailed prompts to help the AI understand your requirements and deliver precise results.

8. The AI will automatically generate the requested data in a table format. If you'd like to adjust the results, add a new prompt at the bottom and click the upward arrow to submit. The AI will generate a new data set based on your updated prompt. Once satisfied with the results, click "Import" to proceed.Screenshot 2025-01-19 at 8.38.00 PM.png

9. Select how you'd like new records or emails to be imported into your sheet.

  • Append data from new emails - this option adds newly fetched emails below your existing rows on future updates.
  • Replace sheet with data from the latest email - all existing rows on your sheet will be replaced with the most recent emails fetched during an update.

10. To include data from your past emails, specify a start date to ensure your import retrieves data beginning from that point.

Example: 01/01/2025

Select "Import latest email only" to include data from the most recent email. If you want to import multiple emails, click on "Import emails" instead.

FAQs for Gmail

Are email attachments supported within the Gmail connector?

Yes, we currently support PDF, CSV, and XLS attachments. Our AI model is designed to access PDFs and extract valuable insights based on your prompts. CSV and XLS attachments are imported as-is using the worksheet you select.

How often do you scan Gmail for new emails?

By default, we schedule imports to refresh every hour. Unless you adjust the settings, we will check for new emails and update your sheet on an hourly basis.

If you choose the "Append data from new emails" option, we will add new email data to the bottom of the existing rows in your spreadsheet. Alternatively, if you select the "Replace sheet with data from the last email" option, we will overwrite the existing rows with data from the latest email.

In what instances would Replace be better than Append mode for my Gmail import?

Replace mode is ideal when you need to import a snapshot of data at a specific point in time, such as a Balance Sheet as of quarter-end or a Profit & Loss report for the fiscal year. This mode helps keep your imports organized and easily tracked without cluttering the sheet.

On the other hand, if you're importing ongoing data like bills or invoices, Append mode is a better choice, as it allows you to create a consolidated view of all the bills or invoices that have been received in your inbox over time.
